PropertyFlow Privacy Policy

PropertyFlow is provided by Ashtan Interiors Ltd. PropertyFlow is designed to help homeowners, builders and property professionals create and manage property projects, work items, scopes of work, progress, evidence and associated project records.
This Privacy Policy explains what information PropertyFlow may collect, why it is used, how it is stored and the choices available to users.
1. Information PropertyFlow collects
When you create and use a PropertyFlow account, we may collect information including:
Your name and email address.
Account and authentication information.
Your selected PropertyFlow account or subscription type.
Projects and work items you create.
Scope and Schedule of Works information.
Quantities, prices, progress, invoice and payment-status information entered into projects.
Photographs, documents and other evidence you choose to add.
Information about stakeholders invited to individual projects.
Records of actions and changes associated with a project.
Technical information required to operate, secure and synchronise the application.
PropertyFlow does not store your debit or credit card details. Mobile subscription payments are processed by the relevant application-store payment provider.
2. How we use information
Information is used to provide and operate PropertyFlow, including to:
Create and maintain user accounts.
Store and synchronise projects and work items.
Provide Personal and Professional functionality.
Allow authorised stakeholders to participate in shared projects.
Maintain project records and evidence.
Provide account and subscription functionality.
Protect the security and integrity of PropertyFlow.
Diagnose technical problems and maintain the service.
Comply with applicable legal obligations.
We do not sell users' personal information.
3. Project information and stakeholders
PropertyFlow allows a project owner to invite up to two stakeholders to an individual project at no additional cost. This functionality is described in the PropertyFlow launch specification.
An invited stakeholder is given access only to the project to which they have been invited. Invitation to one project does not provide access to the project owner's other projects or account.
Users should only enter or upload personal information about another person where they have an appropriate reason and authority to do so.
4. Photographs, documents and project evidence
Users may choose to capture or upload photographs, documents and other information relevant to a property project.
This information is used to provide the project's record and related PropertyFlow functionality.
Users are responsible for ensuring that material they add to PropertyFlow is appropriate for the project and that they are entitled to provide it.
5. Data storage and security
PropertyFlow uses technical and organisational measures intended to protect user and project information.
Information transmitted between PropertyFlow and its supporting services is protected using appropriate secure communications. Access to project information is controlled through authenticated user accounts and project permissions.
No internet-connected service can guarantee absolute security.
6. International use
PropertyFlow is intended for users in multiple countries.
Where personal information needs to be processed or stored outside the user's country, appropriate safeguards will be used where required by applicable data-protection law.
7. Subscriptions and payments
PropertyFlow offers Personal and Professional subscription services. The current launch specification provides for PropertyFlow Personal at £4.99 per month and PropertyFlow Professional at £14.99 per month.
Mobile subscription payments are intended to be processed through the relevant application store. PropertyFlow's backend records the resulting account entitlement rather than storing customers' payment-card details.
The relevant payment provider may process personal and payment information under its own privacy policy.
8. Data retention
We retain account and project information for as long as reasonably necessary to provide PropertyFlow, maintain legitimate project records, meet legal obligations and resolve disputes.
Where information is no longer required, it may be deleted or anonymised in accordance with applicable requirements.
9. Your rights and choices
Depending on where you live, you may have rights concerning your personal information, including rights to:
Request access to personal information held about you.
Request correction of inaccurate information.
Request deletion of information where applicable.
Restrict or object to certain processing.
Request portability of eligible information.
Withdraw consent where processing is based on consent.
Complain to an appropriate data-protection regulator.
UK users may have rights under the UK GDPR and Data Protection Act 2018, including the right to complain to the Information Commissioner's Office.
10. Account and project deletion
Users may request deletion of their PropertyFlow account and associated personal information, subject to information that must legitimately be retained for legal, security or project-record purposes.
Removal from a shared project does not necessarily require deletion of the underlying project, because the project may belong to another PropertyFlow user.
11. Children's privacy
PropertyFlow is intended for property owners, clients, builders and property professionals and is not designed as a service for children.
We do not knowingly provide PropertyFlow accounts to children where doing so would be contrary to applicable law.
12. Changes to this Privacy Policy
We may update this Privacy Policy as PropertyFlow develops or where legal, regulatory or technical requirements change.
Where appropriate, users will be informed of material changes.
